Events — staffing vs labour benchmark
How the benchmark is calculated
The benchmark is the total front-of-house staff-hours an event needs — a repeatable target to compare the rota against. Variance = rota hours − benchmark (+over, −under). Management (e.g. the Events Manager) is excluded. Read it end-to-end; once it's right it shouldn't need changing.
1 · Crew size (from Format & guests)
- Seated — ≤40 day guests: 2 bartenders + 3 floor = 5. 41+: 2 bartenders + 4 floor = 6.
- Standing — total crew by guests (≤40 → 4, ≤50 → 5, 51+ → 6); a 2nd bartender once day+evening > 30.
- Hard cap of 6 — the venue never staffs more than 6 FoH. No Format set → treated as a seated wedding.
2 · Hours per person
- Setup — the whole crew arrives together and works the setup window (2h seated / 1.5h standing); the bartender is a flexible setup hand. Plus a 0.5h pre-arrival buffer.
- Service — from the event's Start Time (default 3pm) to close (default 11:30pm), per crew member.
- Breakdown — 0.5h each after close.
- Evening uplift — one extra body (within the cap of 6) works ~4.5h when the evening grows beyond the day crew.
- Decor — +1h when the event has additional decor.
3 · Roles
- The Supervisor is the head waiter (the longest floor shift) — one of the crew, never an addition.
- Forecast = the scheduled rota (Events pot, incl. Temp agency); actual clocked hours override it once they arrive.
Where a number looks wrong, it's almost always the event's Format, guest counts or Start Time in the Events app — fix those first. The formula itself lives in lib/labourBenchmark.ts.
