How the states work
From the data: the app can prove it. All three Lightspeed exports imported to the Sunday prove the upload. Draft documents existing in Xero for every day of the week prove the build. Those invoices reading back from Xero as authorised or paid prove the approval. Anything short of that shows the shortfall in brick red and waits for a person.
Late: the due date has passed and nobody has recorded it. It never rolls away on its own.
Blocked: recorded with a note saying why, so the next person does not repeat the investigation.
The Monday jobs cover the week that just ended, Monday to Sunday. A statement check with no known due date is owed by month end until you set the day here.
