Drop your Lightspeed CSV exports below — the type and dates are worked out automatically. Overlaps are fine (already-loaded days are skipped); only a gap from the last upload is rejected.
Uploading is the whole job: once a complete month is covered by all three exports, the Xero sales invoice and bank-charges credit note are generated for you as drafts. You review and authorise them in Xero — nothing posts to the ledger on its own.
Which reports to export, and the date range to use
Set the time to 06:00, not 00:00, and end on the 1st of the NEXT month. The trading day runs 5am to 5am, so a range ending on the last day of the month drops that day's takings entirely and cuts short the night before. This is not cosmetic: the June 2026 upload lost trading day 30 June this way, £175.15 of sales and £1.87 of tips.
- Receipt Items, the takings split by category. Reports → Export. Not the "Receipts" report. Receipts is one row per sale and carries no category or tax column, so it is rejected on upload. Receipt Items is one row per line and runs to a few thousand rows a month.
- Payments, from the same Reports → Export screen. Carries the tips, which go to Tips Payable rather than revenue, and which payroll pays from. Upload it for a month before running that month's payroll: once the payroll is run the tip month locks and a later upload will not back-populate it.
- Payouts, the actual card fees, so the credit note is exact and POS Clearing ties. Financial Services. Without it the fee falls back to a 1.60% estimate, which runs about £20 a month out, so the month is built but held rather than posted.
Check the file before uploading: the last trading day should be the last day the venue actually traded. Lightspeed filters these exports on modified date rather than creation date, so the range in the filename is not proof of what is inside.
